The Proper Use of an Email Account An email account uses resources that are finite. Good examples
of these resources are the disk space where email messages are stored and
the network bandwidth that is consumed whenever an email is sent. In
order to help conserve these resources, please observe the following:
-
Periodically check and clean ALL your mail
folders (including "sent-mail" and "Trash"). Delete and purge
messages or folders that are no longer of interest. A good example would
be a message or folder you have not opened in the last 6 months. Note
that your deleted messages may be HIDDEN, that is why purging your
folders is necessary.
-
Do not send or forward junk email. Examples of these are inspirational messages, jokes, chain letters, etc.
These do not relate to official Ateneo business and can consume a
significant amount of resources, especially those messages with attachments.
-
Safeguard the confidentiality of your
account. Refrain from subscribing to a large number of list
servers or registering at commercial websites. Not only will your address
be known to people who do not necessarily need to know, you will also most
likely end up receiving a lot of unsolicited junk emails.
-
Safeguard the security of your
account. Do not let other people use your account. Choose a
good account password as explained
here and change it at the
prescribed interval. Refrain from having
programs remember your passwords for you as you will tend to forget them
later on. This will also allow anybody using your computer to use your
account.
