Policies Governing an ateneo.edu E-Mail Account

What are these policies for?

These policies apply to the new e-mail server, mail.ateneo.edu, that will host new user accounts under the ateneo.edu domain.

These policies are intended to give all users equal access to the resources being provided by this new email server, ensure the security of users' accounts, and ease overall system administration.


Who can have accounts?

All bona fide employees of the Ateneo de Manila University can have an account under the new domain name. The basic user groupings will be: Central Administration, Loyola Schools, High School, Grade School, and Auxiliary Units.

Group accounts or accounts not owned by a human being (e.g. an office or program) will remain on pusit.admu.edu.ph and will not be allowed on mail.ateneo.edu.


Naming Convention

As approved and mandated by the School Council, an account name will be the first initial of the user's given name immediately followed by the user's complete last name. For users that happen to have the same name configuration as an existing account, the lowest available counting number shall be appended to the end of the new account name.

Example:

First user's name:Juan X. dela Cruz First account name:jdelacruz@ateneo.edu
Second user's name:Juan Y. de la Cruz Second account name:jdelacruz02@ateneo.edu



Account Access

Accounts can be accessed from anywhere through a web interface located at http://mail.ateneo.edu. On campus, Outlook 2000, Outlook Express 5, Eudora 5.1.1, and Netscape 7.0 can also be used with an encrypted version of the POP protocol.

For security reasons, telnet (shell) access will not be allowed on the new server.

Users have the responsibility, and a personal stake, in securing their accounts. Some basic guidelines on how to select a good password can be found here.


Account Activation and Validity

Account applications will be processed from Monday to Friday every week. The application form is available here and should be accomplished in duplicate.

For security, every account password must be changed at least once a year, counting from the time the account was created. Failure to do so will disable the account, which can only be reactivated by coming in person with a valid ID to the office of the CNG at Faber Hall 311. Should the disabled account remain inactive for one month, the said account will be removed without further notice.

Users will be notified by email of impending expiration approximately 30 and 7 days beforehand. Please note that the CNG will never instruct users to change their password to a particular value whether through the phone or email.


Account Limits

Each account will have the following resource limits:

Disk Space Limit: 250 MB
*** once reached, the user will no longer be able to receive new email

This disk limit covers ALL folders (including Trash, if used), not just the user's Inbox.
 

Maximum E-Mail Message Size: 8 MB
*** for both incoming and outgoing messages.

Maximum Attachment Upload Size: 8 MB
*** this is for messages originated by the user using the web interface.

Exceeding these limits will cause either the upload or send operation to fail.


Pusit Accounts

Eligible users who have existing accounts on pusit.admu.edu.ph need to submit a new application form (in duplicate) for the new email system.

Upon activation of an ateneo.edu account, all new incoming mail destined for the old admu.edu.ph account will be automatically forwarded to the new account.

Due to the large system difference between pusit.admu.edu.ph and mail.ateneo.edu, account migration (mail folders and addressbooks) is left for the user to accomplish. This also serves as a way for users to review and clean out their old accounts. Pine users can find migration procedures here.

pusit.admu.edu.ph will still be maintained as the mail server for the rest of the Loyola Heights campus community, but will no longer be open for new personal email accounts of Ateneo de Manila employees who are eligible for accounts on mail.ateneo.edu.
